US Business Outreach Privacy Notice

2. Data we process

Where available, we process your name, business role, company, business email address, publicly available company or property information, the source and verification record used for our outreach, and records of our communication, your response and any objection or suppression request.

We do not intentionally process special categories of personal data for this outreach.

3. Sources of the data

We obtained your business contact details and relevant company or property information from publicly accessible business sources, such as company websites, official business records and publicly available property listings.

We use business contact details that have been made available for business purposes. We do not intentionally use private or guessed email addresses.

You may ask us to identify the specific source used for your record.

4. Purpose and legal basis

We process the data to assess whether our video marketing service for property listings may be relevant to your business; to send one initial business email and, if appropriate, no more than one follow-up; to manage replies and objections; to prevent unwanted recontact; and to document compliance.

We rely on our legitimate interests in proportionate, targeted business-to-business marketing under Article 6(1)(f) GDPR. We have carried out a documented necessity and balancing assessment.

5. Recipients and international processing

We use service providers only where necessary for website hosting, email, security and compliance operations.

We use Microsoft 365 and Exchange Online to send and receive email. Microsoft processes personal data under its applicable Data Protection Addendum. Where personal data is processed outside the European Economic Area, applicable transfer safeguards are used where required.

You may contact us for further information about the recipients of your data and the safeguards that apply.

6. Retention

We retain active prospect data only for as long as necessary for the outreach and any resulting communication.

We review non-essential prospect data no later than 180 days after the last permitted outreach event and delete or anonymize it when it is no longer needed, unless a different documented purpose or legal obligation requires further retention.

We retain a minimal suppression record for as long as necessary to honor your objection and prevent future marketing contact. We may retain limited compliance evidence in line with documented legal-retention criteria.

7. Your rights and your right to object

Depending on applicable law, you may request access to, correction, deletion or restriction of your personal data, or a copy of the personal data we hold about you. You may also lodge a complaint with a competent supervisory authority.

You may object at any time to the processing of your personal data for direct marketing. If you object, we will stop using your personal data for direct marketing.

To object to further marketing, reply unsubscribe to the outreach email or use this unsubscribe email link. We will record your objection in our suppression list and will not send further marketing emails.

Any reply to the outreach email pauses further follow-up while your message is reviewed.

8. Automated decision-making

We do not use automated decision-making that produces legal or similarly significant effects concerning you.

Automated tools may assist with internal screening, but they do not independently authorize the sending of an email.

9. Changes and previous versions

The version and effective date shown at the top identify the notice that applied to the outreach email. Material changes will be published as a new version.
